How to ask for records held by Takeflight, as the Promotion of Access to Information Act requires. Last updated October 2026.
1. About this manual
This is the manual of Takeflight (Pty) Ltd under section 51 of the Promotion of Access to Information Act 2 of 2000 (PAIA). It explains what records Takeflight holds, how it processes personal information under the Protection of Personal Information Act 4 of 2013 (POPIA) and how to ask for access to a record.

3. The Regulator's guide
The Information Regulator publishes a guide on how to use PAIA and POPIA, in every official language. You can get it from the Information Regulator's website(opens in a new tab), or ask the Information Officer for a copy.
4. Records available without a request
Everything published on this website, including the services information, the privacy policy, the terms of use, the legal notice and this manual, is available without a formal request.
5. Records kept under other laws
Takeflight keeps records as required by, among others:
- the Companies Act 71 of 2008
- the Income Tax Act 58 of 1962 and the Tax Administration Act 28 of 2011
- the Value Added Tax Act 89 of 1991, should Takeflight register
- the Electronic Communications and Transactions Act 25 of 2002
- the Consumer Protection Act 68 of 2008
- the Protection of Personal Information Act 4 of 2013
6. Records Takeflight holds
- Company records: registration documents, statutory records and resolutions.
- Financial records: invoices, statements, bank records and tax records.
- Client records: proposals, agreements, correspondence, project files and handover documents.
- Supplier records: agreements and correspondence with service providers.
- Enquiries: messages sent through this website, by email, phone or WhatsApp.
- Technical records: hosting, security and website configuration records.
Some of these records may be refused on the grounds PAIA sets out, for example to protect the privacy of other people, commercial information of Takeflight or its clients or confidential information.
7. How personal information is processed
Purpose
To answer enquiries, prepare proposals, deliver and support websites and other services, invoice and keep financial records, meet legal obligations and, with consent, send occasional updates.
Whose information and what kind
- People who enquire: name, business, contact details and their message.
- Clients and their staff: names, contact details, billing details and project information.
- Suppliers: names, contact details and banking details.
- Visitors to client websites, processed on behalf of the client as their operator: whatever the client's site is set up to collect.
Who it may be shared with
Service providers who host, secure and deliver Takeflight's work and email, such as Cloudflare and Google, acting on Takeflight's instructions. Professional advisers such as accountants and attorneys. Government bodies such as SARS where the law requires it.
Information sent outside South Africa
Some service providers store or process information outside South Africa. Takeflight only uses providers bound by law or agreement to protection substantially similar to POPIA, as section 72 requires.
Security
Access to accounts is protected with strong authentication and limited to people who need it. Websites run over encrypted connections with spam and bot protection, every release is kept and providers are bound by written terms. If personal information is ever compromised, Takeflight will notify the Information Regulator and the people affected as section 22 of POPIA requires.
8. How to request a record
- Complete Form 2 (Request for access to record) from the Information Regulator's website(opens in a new tab).
- Send it to the Information Officer at hello@takeflight.co.za. Say which record you want, how you would like to receive it and which right you need it to exercise or protect.
- Pay any request or access fee prescribed by the PAIA regulations. You will be told if a fee applies before the record is prepared.
- You will receive a decision within 30 days. If the request is refused, you will be told why and how to lodge a complaint with the Information Regulator or apply to court.
To ask for your own personal information, or to correct or delete it, you do not need this process. Email the Information Officer and it will be dealt with under POPIA, as the privacy policy explains.
